What The Client Required

  • Student data management - centralized student profiles, academic history and transcripts, enrollment and program tracking, and lifecycle status (active, graduated, withdrawn).
  • Financial & administrative management - receipts and invoices, student billing and payment tracking, financial reporting and reconciliation support, and audit-ready records.
  • Institutional operations - user roles and permissions, cross-department data access control, and reporting and operational dashboards.
  • Learning Management System - course and curriculum management, learning content delivery (documents and video), student enrollment and progress tracking, and instructor access and course administration, synchronized with the IEMS so there is no second copy of the truth to reconcile.
  • CRM - prospective-student (lead) management, admissions and enrollment tracking, and communication and engagement history, integrated with the IEMS so a prospect becomes an enrolled student without re-keying data.
  • Data migration - historical records mapped and transformed from MS SQL to MySQL, then validated and reconciled against the source, sequenced around live operations to keep disruption minimal.
  • Legacy STARS support - ongoing maintenance and bug fixes, performance monitoring and optimization, compatibility with the new integrated systems, and technical documentation to retain institutional knowledge. 

Our Technologies

  • Back end: Node.js, MySQL, REST APIs for interoperability across the IEMS, LMS, and CRM modules 
  • Front end: Mobile-responsive web platform (interactive prototype), role-based views
  • Integration: APIs connecting IEMS, LMS, and CRM, plus optional integration with third-party LMS and CRM platforms
  • Data migration & legacy continuity: MS SQL to MySQL with mapping, validation, and reconciliation, while the legacy STARS system (.NET, C#, MS SQL) stays online.

Challenges

  • No single source of truth - student profiles, transcripts, enrollment, and financial records lived in disconnected systems, forcing departments to reconcile data by hand and live with the accuracy problems that follow. 
  • A legacy system that couldn't be switched off - a long-running platform called STARS (built on .NET, C#, and MS SQL) still ran essential operations. A full rewrite was off the table; it had to keep working while modernization happened around it.
  • Learning and recruitment to modernize at the same time - beyond record-keeping, the institution wanted modern online learning (an LMS) and a way to manage prospective students and admissions (a CRM), without disrupting systems already in daily use.
  • Years of history to migrate - historical records had to move from MS SQL to MySQL with their integrity intact.
  • A future-ready foundation - the platform had to support growth and continued modernization, not just solve today's problem.

Scholar OS is built as one unified platform in three connected layers: 

  • The IEMS core - the authoritative system of record for student, academic, and financial data.
  • The LMS - modern course and content delivery, synchronized with the core so students, courses, and grades stay consistent everywhere.
  • The CRM - the front of the student lifecycle: leads, admissions, and engagement, feeding directly into the IEMS.
  • Underpinning all three: a careful MS SQL → MySQL data migration and continued support for the legacy STARS system, so the institution modernizes without losing history or interrupting operations.

What the build delivers: A single source of truth where student, academic, and financial data are unified in one system, reducing the manual reconciliation that caused accuracy problems. Modernized learning and recruitment through integrated LMS and CRM modules that bring online learning and admissions into the same ecosystem as the record of truth. Continuity through change, with the legacy STARS system kept running to avoid the risk and downtime of a full replacement. A future-ready, scalable architecture built on Node.js and MySQL, ready for the next phases of growth. 

Our Approach

We built the IEMS core before anything else, so student, academic, and financial data finally lived in one place, then extended outward into learning and recruitment.

The LMS and CRM synchronize with the IEMS through APIs, and can be custom-built or integrated with third-party platforms depending on the institution's needs. Either way, the data stays consistent.

Rather than risk a high-stakes rip-and-replace, we kept the legacy STARS system running and connected it via APIs, migrating data with validation and reconciliation so nothing was lost in the move.

We built Scholar OS as an interactive prototype so every screen and flow could be experienced and validated, proving how the unified platform behaves before heavier investment.

Looking ahead (future phases)

Scholar OS is built to grow well beyond the initial build. Planned post-MVP enhancements include native iOS and Android apps, advanced AI-based learning analytics, integrations with national education and accreditation systems, and a phased modernization of the legacy STARS platform beyond maintenance, extending the unified platform as the institution's needs mature.
