Saigon Technology designed and built Atrium, a custom Real Estate CRM that unifies leads, listings, sales pipeline, viewings, contracts, and commissions in one system – delivered across a responsive web app for the agency and a companion mobile app for agents in the field.

Built around a single source of truth with role-based experiences for managers, agents, marketing, and clients, Atrium turns a scattered set of tools and spreadsheets into one calm, visible place to run the entire sales lifecycle.

What The Client Required

CRM & contacts

  • Centralized customer profiles with buyer / seller / tenant / investor segmentation.
  • Full communication history, notes, and activity logs against every contact.
  • Preference capture: budget range, preferred locations, property type, and investment goals, so matching is built in.

 

Lead management

  • Multi-source lead capture: website, property portals, social media, referrals, campaigns, and walk-ins.
  • Lead scoring rings with a transparent breakdown (budget match, engagement, responsiveness, source quality).
  • SLA timers that surface overdue follow-ups, plus assignment and qualification workflows that get the right lead to the right agent.

 

Sales pipeline

  • A drag-and-drop Kanban board across seven configurable stages: New Inquiry → Qualified → Viewing Scheduled → Offer Submitted → Negotiation → Reservation → Contract Signed.
  • Deal cards carrying a property photo, heat indicator (hot / warm / cold), value, client, and age-in-stage.
  • A probability-weighted forecast and a switch between board and list views.

 

Property inventory

  • Listings in grid, list, and interactive map views (Leaflet, with price markers colored by status).
  • Unit status tracking: Available, Reserved, Sold, Rented.
  • Rich property detail pages with photo gallery, floor plans, video and 360° tours, amenities, full specs, and the listing agent.

 

Calendar & viewings

  • A week-grid scheduler with agent-color-coded viewing blocks.
  • An availability sidebar and post-viewing feedback capture with star ratings and client notes.

 

Communications & automation

  • Unified Email / SMS / WhatsApp threads against each contact.
  • Trigger-based automation sequences (new-lead nurture, post-viewing follow-up, offer nurture, and cold re-engagement) shown as visual step flows.
  • Reusable message templates with merge tags across every channel.

 

Contracts & documents

  • A clear status flow: Draft → Sent → Awaiting Signature → Signed.
  • E-signature progress tracking (signers completed vs. total) with DocuSign integration and document version control.

 

Commissions

  • Automatic gross and split-percentage calculation per agent.
  • A Pending → Approved → Paid workflow with bulk approval for managers.

 

Reports & analytics

  • Dashboard KPIs with inline sparklines: pipeline value, new leads, conversion rate, closed revenue, average deal cycle, and viewings.
  • Revenue-and-forecast, lead-source attribution, conversion funnel, agent productivity, property performance, and campaign cost-per-lead, all exportable to PDF.

 

Mobile field app

  • Role-specific tab suites so each user gets a focused mobile experience.
  • An agent Today view with next viewing (map, distance, and drive time), today's tasks, and hot leads at a glance.
  • Mobile pipeline management, property photo capture, and on-site signature capture (canvas-based) to close reservations in person.
  • Push notifications, plus manager approvals and leaderboards on the go.

 

Roles & admin

  • Five roles (Administrator, Sales Manager, Agent, Marketing, and Customer) governed by a permissions matrix.
  • Workspace switching for multi-office agencies.
  • An integrations grid (Google Calendar, Outlook, WhatsApp Business, email/SMTP, e-signature, payment gateway, listing portals, accounting) and brand-accent theming.

Challenges

  • Real estate agencies lose deals in the gaps between tools. Leads arrive from a website, three portals, and social, and land in different inboxes. Listings live in one system, the sales pipeline in a spreadsheet, contracts in email threads, and commissions in a month-end scramble.
  • Agents are rarely at a desk when it matters; managers can't see what's actually happening across the team until it's too late to act. 
  • Centralize customer and property data: one record for every client, lead, and listing, with full history attached.
  • Lift lead conversion: capture leads from every source, score them, and route them to the right agent before they go cold.
  • Raise agent productivity: give agents what they need in the office and on-site, not just at a desk.
  • Automate follow-up: replace manual chasing with trigger-based sequences across email, SMS, and WhatsApp.
  • Track every transaction inquiry-to-close: a visible pipeline from first inquiry to signed contract and paid commission.
  • Give management real-time visibility: live dashboards, forecasts, and team performance instead of after-the-fact reports.

  • Atrium is one platform with three connected surfaces, all reading from and writing to the same shared data:
  • The agency CRM web app: the command center for sales managers, agents, and marketing: leads, pipeline, properties, communications, contracts, commissions, and analytics.
  • The mobile field app: purpose-built for agents working on-site: today's schedule, hot leads, photo capture, and on-the-spot signing.
  • The customer portal: a clean experience for buyers to browse homes, manage viewings, message their agent, and sign documents.
  • One consistent record: every role sees a different view of the same source of truth, so a lead captured by marketing, advanced by an agent on their phone, and approved by a manager all move through the same record.

The Outcome

Saigon Technology

Atrium demonstrates, end to end, what a unified real estate CRM looks like and how it behaves: a working, clickable product that covers the full transaction lifecycle from first lead to closed-won, on the web and in the field.

What the build delivers includes a complete sales workflow that captures, qualifies, views, offers, negotiates, signs, and manages commissions within a single system. Agents can work on-site through a mobile-first experience, while managers gain real-time visibility through live dashboards, weighted forecasts, and team leaderboards.

Automated follow-up sequences across email, SMS, and WhatsApp replace manual outreach, while a unified lead-to-close pipeline ensures every interaction is tracked within a single record. Designed for scale, the platform supports multiple roles, offices, and integrations with accounting and CRM systems. Prototype figures illustrate the scale Atrium is built for: $18.4M pipeline managed, 2,400+ transactions tracked, and a 99.9% uptime target.

Our Approach

We built Atrium as a fully interactive prototype on both web and mobile so every screen, flow, and role could be experienced and validated before heavier investment, rather than imagined from static mockups.

A warm, editorial visual language featuring a clay, pine, and brass palette on a soft paper background, with Fraunces display type, Hanken Grotesk for UI, and Space Grotesk for data runs across every surface. The accent color is themeable, so the platform adapts to an agency's own brand.

One data model powers five role-based experiences and a customer portal, keeping leads, deals, properties, and documents consistent no matter who's looking or where.

A responsive application with a command palette (⌘K), drawers and modals, live charts (Chart.js), interactive maps (Leaflet), accessible interactions, and reduced-motion support, all built on a foundation ready to scale.

Looking ahead (future phases)

Atrium's architecture is built to grow beyond the current build. Planned enhancements include deeper listing-portal syndication, AI-assisted lead scoring and next-best-action recommendations, advanced sales forecasting, expanded e-signature and payment-gateway flows, and multi-currency / multi-office scale for agencies operating across markets.
